For Organization Owners and Admins who manage who can access and edit the team's Spaces.
Invite and manage members
Invite people to your organization by email, assign roles, manage pending invitations, change roles, and remove members.
Overview
Members are the people who can access an organization and work on its Spaces. Each member has a role — Owner, Admin, or Member — that determines what they can do. You invite people by email, and they join by accepting the invitation from their own account.
All member and invitation management happens on the organization's Settings → Members page. Only Owners and Admins can see and use the invite and management controls.
What each role can do
- Owner — Full control. Created the organization (there is one Owner). Can change other members' roles, remove members, edit organization settings (including the editable display name), manage org-owned Spaces, and request or manage verification. The Owner cannot leave or be removed.
- Admin — Can invite and remove members, manage pending invitations, edit and publish the organization's Spaces, and request or manage organization verification. Admins cannot change member roles (that's Owner-only).
- Member — Can access the organization and view its Dashboard. Members do not have edit rights over org-owned Spaces and cannot manage other members.
Editing and publishing org-owned Spaces is limited to Owner and Admin. See Organization spaces and dashboard for details.
Before you begin
- You must be an Owner or Admin of the organization.
- Know the exact email address the person uses to sign in to ArtSpace with Google. Sign-in is Google only, so the invitation is matched to that Google email.
- The person should already have (or be willing to create) an ArtSpace account using that same email.
Invite a member
- 1Go to the organization's Settings → Members page.
- 2Select Invite. A dialog opens.
- 3Enter the invitee's email address — the one they use to sign in with Google.
- 4Choose a Role: Member or Admin.
- 5Select Send Invitation. The invitation appears in the Pending Invitations list until the person responds.
The email must match the address the invitee uses to sign in with Google. If they sign in with a different Google address, the invitation won't be recognized.
How invitees accept
Invitations are not accepted from a link in this page — the invitee accepts from their own account:
- 1The invitee signs in to ArtSpace with the Google account matching the invited email.
- 2They open their settings and go to the Organizations section, where any Pending Invites are listed with the inviting organization and the offered role.
- 3They choose Accept to join (or Reject to decline). On accepting, they become a member with the role you assigned.
Declining an invitation does not notify the person who sent it. If someone hasn't joined, check the Pending Invitations list and resend or re-invite as needed.
Manage pending invitations
- Cancel a pending invitation from the Pending Invitations list if it was sent in error or is no longer needed.
- If an invitation was rejected, you can Resend it from the same list to give the person another chance to accept.
- Pending and rejected invitations both appear in this list so you can track who hasn't joined yet.
Change a member's role
- 1On the Members list, open the menu (•••) next to the member you want to change.
- 2Choose Make Admin to promote a Member, or Make Member to demote an Admin.
- 3The change takes effect immediately.
Only the Owner can change roles. The Owner role cannot be reassigned through this menu, and you can't change your own role.
Remove a member
- 1On the Members list, open the menu (•••) next to the member.
- 2Choose Remove and confirm.
- 3The person immediately loses access to the organization and its Spaces. They can be re-invited later.
The Owner cannot be removed. Members who want to leave on their own can use Leave Organization from the Members page or from their own Organizations settings.
